National First Aid Courses respects your privacy and is committed to protecting your personal information in line with the Privacy Act 1988, the Australian Privacy Principles (APPs), and the Privacy Amendment (Enhancing Privacy Protection) Act 2012.
We also meet our obligations under the Data Provision Requirements 2011 and VET Data Collection Policy, which require student data to be securely retained for up to 30 years under the Standards for RTOs 2015.
National Courses uses staff based in Australia, Indonesia, and the Philippines for customer service, administration, and data-entry tasks. All staff are provided with only the minimum system access required to perform their duties, and all staff agree to comply with Australian privacy laws, regulations, and strict confidentiality requirements.

We collect personal information directly from you or your authorised representative. This may include your contact details, date of birth, training history, Unique Student Identifier (USI), and feedback.

Paperwork in Face-to-Face Classes
- During face-to-face classes, all student paperwork (including enrolment forms, assessments, and attendance sheets) is securely stored in lockable filing cabinets located in each training room.
- At the end of each month, these documents are collected by our State Administration team and transported to our North Sydney head office, where they are securely stored for the required retention period.
- All paperwork is retained in hard copy only and is not converted to digital files, except for the daily attendance sheet, which is scanned or emailed to our processing team for record-keeping.
USI Access and Permission
By enrolling, you give National Courses permission to:

We will never update or share your USI without your consent, except as required by law for training and certification purposes.
Photos, Reviews, and Marketing
By agreeing to this Privacy Statement, you acknowledge and consent to National Courses Pty Ltd using the following:
- Photos and Videos: Photos or videos taken during classes (by trainers or students) may be used for marketing or promotional purposes. For example, students may take photos during class and upload them to platforms such as our Google Business Profile.
- Reviews and Feedback: Reviews or feedback you provide may be used in marketing materials. Your last name will not be used. For example, a Google review may be displayed on Google or featured on our website (e.g. in a review carousel).
- Limitations: This consent does not extend to professional photography or videography conducted specifically for marketing purposes. If we wish to use you in professional marketing content, we will obtain separate, explicit consent. This clause only applies to incidental or informal images captured during training sessions by people in the classroom like the trainer or students in attendance.
If you do not wish for your image or comments to be used, please notify us in response to your confirmation email, and we will ensure your preference is respected.
Access and Complaints
You can request access to your personal information or make a privacy-related complaint at any time by emailing admin@nationalcourses.edu.au.
Complaints will be handled according to our Complaints and Appeals Policy, available on our website and in the Student Handbook.

- Meet our legal, regulatory, reporting, audit and compliance obligations
The personal information we collect may include your name, date of birth, contact details, address, USI, identification documents, enrolment information, training history, assessment records, attendance records, payment information, feedback, support needs, and other information reasonably required for your course or enrolment.
If you do not provide the required personal information, we may not be able to enrol you, verify your identity, confirm your eligibility, provide training or assessment services, issue certification, or meet our reporting obligations.
Student declaration — course requirements
By enrolling, you declare that:
- You have read and understood the enrolment requirements, course requirements and student information for the course you are enrolling in
- You meet the eligibility, identification, language, literacy, numeracy, technology, physical, practical, attendance and assessment requirements that apply to the course
- The information you have provided during enrolment is true, accurate and complete
- You understand that failing to meet course requirements may affect your ability to participate in the course, complete assessment, be issued certification, or receive any required card, licence or statement of attainment
- You will notify National Courses as soon as possible if any information you have provided changes or if you require support or reasonable adjustment
How we use your personal information
- We use your personal information to provide training and assessment services, manage your enrolment, support your participation in the course, issue certification where applicable, maintain student records, improve our services, and comply with our obligations as an RTO.
- We may also use your information to contact you about your course, booking, assessment, student records, certification, feedback, complaints, appeals, support needs, or other matters directly related to your enrolment.
How we store and protect your personal information
- We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification or disclosure.
- Your information may be stored in secure electronic systems, student management systems, cloud-based platforms, email systems, and, where necessary, physical records.
Access to student information is limited to authorised staff, contractors, trainers, assessors, service providers, regulators or agencies who require access for legitimate training, assessment, administration, support, reporting, audit, compliance or legal purposes.
National First Aid Courses uses staff based in Australia, Indonesia and the Philippines for customer service, administration and data-entry tasks. These staff are only provided with the minimum system access required to perform their duties. All staff and contractors are required to comply with Australian privacy requirements, confidentiality obligations, internal policies and secure information-handling procedures.
We retain student records for the periods required under applicable laws, regulatory requirements and RTO obligations. Records are securely destroyed or deleted when they are no longer required, unless we are legally required to retain them.
Paperwork in face-to-face classes
- During face-to-face classes, student paperwork, including enrolment forms, assessments and attendance sheets, is handled securely by authorised staff and trainers.
- Where hard-copy records are used, they are stored securely and transported or transferred to National Courses administration staff for processing and retention in accordance with our records management procedures.
- Attendance sheets and other required course documents may be scanned, emailed or uploaded to our processing team for record-keeping, reporting, certification and compliance purposes.
How we disclose your personal information
We may disclose your personal information where required or authorised by law, or where reasonably necessary for training, assessment, administration, support, reporting, audit, certification, licensing or compliance purposes.
This may include disclosure to:
- The National Centre for Vocational Education Research Ltd (NCVER)
- The Australian Government Department of Employment and Workplace Relations (DEWR)
- The Australian Skills Quality Authority (ASQA)
- The relevant state or territory training authority
- The Student Identifiers Registrar
- SafeWork, WorkSafe or other relevant licensing or card-issuing bodies
- Government departments, regulators, funding bodies or authorised agencies
- Trainers, assessors, contractors or service providers involved in delivering services on our behalf
- Technology, student management, administration, compliance, payment or support service providers
- Other parties where required or authorised by law
We are required by law, including under the National Vocational Education and Training Regulator Act 2011, to disclose certain personal information to the National VET Data Collection, which is managed by NCVER.
NCVER is responsible for collecting, managing, analysing and communicating research and statistics about the Australian VET sector.
How NCVER and other bodies handle your personal information
NCVER will collect, hold, use and disclose your personal information in accordance with applicable laws, including the Privacy Act 1988 and the National Vocational Education and Training Regulator Act 2011.
Your personal information may be used and disclosed by NCVER for purposes including:
- Populating authenticated VET transcripts
- Administration of VET
- Regulation, monitoring and evaluation of VET
- Facilitation of statistics and research relating to education, including surveys and data linkage
- Understanding the VET market
- Policy, workforce planning and consumer information
NCVER may disclose information to DEWR, Commonwealth authorities, state and territory authorities, VET regulators, and persons engaged by NCVER to conduct research on its behalf.
NCVER does not intend to disclose your personal information to overseas recipients.

USI access and permission
By enrolling, you give National Courses permission to:
- Locate or verify your USI using the personal details you provide
- Create a USI on your behalf if required and authorised by you

We will not update or share your USI except with your consent or where required or authorised by law for training, certification, reporting or regulatory purposes.
Surveys
You may receive a student survey from a government department, NCVER, an NCVER employee, agent, third-party contractor or another authorised agency.
You may opt out of the survey at the time you are contacted.
Photos, reviews and marketing
By agreeing to this Privacy Notice, you acknowledge and consent to National First Aid Courses Pty Ltd using incidental photos, videos, reviews or feedback for marketing or promotional purposes.
This may include:
- Photos or videos taken during classes by trainers, staff or students
- Informal class photos uploaded to platforms such as Google Business Profile
- Reviews or feedback displayed on Google, our website, social media, advertising or marketing materials
We will not use your last name with a review or testimonial unless you give permission.
